The Role
The HR Coordinator supports the efficient and effective delivery of the HR operations service across the EMEA region. The HR Coordinator is responsible for transactional activities across the employee lifecycle such as producing employment offers, onboarding new hires, processing leavers and responding to employee queries. The HR Coordinator will be flexible in approach, contribute towards a positive working environment, compliance with labor regulations and continuous improvement in HR systems and processes. This is a fixed-term contract role to cover a maternity leave (15 months).
The Main Responsibilities
• Support new hire processes from point of accepting verbal offer, through to onboarding, including preparation of documentation, pre-employment checks, data entry to HR systems and onboarding arrangements.
• Process changes to contract and in respect of employees leaving the company
• Respond to employee queries including queries raised via HR ticket system. Queries may include policy information, time off, family-friendly entitlements, HR systems and processes, requests for documentation such as employment references and documents in support of immigration applications.
• Ensure compliance with legal and Lumen policy requirements by maintaining up to date and accurate records of key information and bring forward for action, for example new hire and leaver data, immigration related data, health checks, absence and family friendly leave.
• Prepare data in support of monthly payroll
• Deal with supplier invoices by posting these into Accounts system and liaising with suppliers to resolve queries etc (eg employee benefits invoices)
• Accountable for data accuracy and integrity across all HR systems and records (including employee paper records, SuccessFactors and ADP Workforce Manager)
• Develop understanding of employment law and policy compliance as it relates to the role, across the EMEA countries.
• Take part in and contribute to process improvement initiatives.
• Communicate and collaborate with colleagues in EMEA HR & Payroll team: also with line managers, employees and external contacts where required. Partnership approach to problem solving.
• HR Systems: support effective use of HR systems including Workforce Manager Time & Attendance system
• Additional tasks and responsibilities that align with the job role.
What We Look For in a Candidate
- Recent and relevant related work experience. Ideally knowledge of HR lifecycle procedures and policies
- Able to effectively provide information and first-level guidance to HR customers on a day-to-day basis.
- Customer-centric mindset & accountability
- Good knowledge of Polish employment law as it relates to the role of HR Coordinator
- Communication & stakeholder management
- Strong ability in spoken and written English
- Able to manage and prioritize workload to meet deadlines and manage expectations in a positive manner
- Excellent attention to detail & process discipline
- Tech & systems proficiency (especially MS Office package)
- Continuous improvement mindset
- Desired: Knowledge of Spanish or UK labor law, Experience with SuccessFactors / ADP Workforce Manager
